Booking Terms

These terms cover every tour booked on incensevillagehue.com, run by Incense Village Hue (“we”, “us”), Huyen Tran Cong Chua Street, Thuy Xuan Ward, Hue, Vietnam. Completing checkout, or confirming a booking with us on WhatsApp, means you accept them.
1. What you are booking
Every tour is private, for a group of 1–4 guests, and priced per group. The price you see at checkout is final and covers everything listed on the tour page: a private car and driver, a licensed local guide who speaks fluent English, pickup and drop-off at your hotel in central Hue, all entrance and workshop fees, the dragon boat and the lunch where the tour lists them, and drinking water. Personal shopping and optional tips are not included.
2. Sample itineraries and tailored days
The itineraries on this site are sample days, and every one of them can be tailored. Tell us what to add, drop or spend longer on and we confirm the plan and an all-inclusive price in writing before you book; a tailored day may cost more or less than the sample. On the day itself your guide can change the order and pace of the stops within the hours you booked.
3. Who runs your tour
We design and sell the tours and run them with licensed Vietnamese partners holding international tour-operator licences. Your contract is with us, and we stay your single point of contact from booking to drop-off. Your guide is a licensed local guide from Hue who speaks fluent English.
4. Payment
There are two ways to pay. In full online: the whole price in US dollars by card, at our checkout or through a secure payment link we send on WhatsApp. 30% now, the rest in cash: a 30% deposit paid online, with the remaining 70% paid in cash to your guide on the day, in US dollars or Vietnamese dong. Your confirmation shows the exact balance due, and the exchange rate if you plan to pay in dong.
A booking is confirmed once the online payment has gone through and you have our written confirmation with the pickup time and your guide’s name.
5. Cancelling and changing your date
Cancel up to 3 days (72 hours) before your pickup time and everything you paid comes back to the card or account you paid with, usually within 5–10 business days depending on your bank.
Within 3 days of departure, and for no-shows, 30% of the tour price is charged, because the car and guide are already reserved for you. If you paid in full we return the other 70%; if you paid the 30% deposit, it covers the charge and nothing more is owed.
Moving your tour to another date is free up to 3 days before departure, subject to availability.
6. Weather, closures and changes on our side
Hue is wettest from October to December. In heavy rain the incense families work indoors and the coloured drying fans are packed away; the hands-on session still takes place under cover. If the Perfume River is closed to boats after heavy rain, the dragon-boat leg of the full-day tour is replaced by the car, and the tour price stays the same.
If a site closes or a highlight becomes unavailable, we tell you before departure whenever we can and offer a comparable replacement or a new date. If the day cannot reasonably go ahead at all — a typhoon warning or official flood closures, for example — you get a full refund. We never quietly cut a stop from the day.
7. Your part
Please be in your hotel lobby at the confirmed time. Your guide waits 20 minutes and will call or message you on WhatsApp; after that the tour counts as a no-show. A late start shortens the day rather than extending it. Please carry travel insurance, and tell us about dietary needs, allergies or mobility limits when you book.
8. Children and accessibility
Children are welcome. Children under 5 travel free and do not count towards the group size; from 5 a child counts as one guest. The incense yards are flat and both workshops are seated; Tu Duc Tomb and Thien Mu Pagoda have some low steps. Tell us about strollers or wheelchairs and we will plan the day around them.
9. Our liability
We work with licensed partners and insured vehicles. As far as Vietnamese law allows, our liability for any claim is limited to the amount you paid for the booking. This does not reduce any liability the law says cannot be limited.
